Job Description

Key Responsibilities:

  • Assist with creation/ modification of ad-hoc reports, presentations, and organizational charts as required for various management and regulatory meetings. This would require sensitive management of confidential, strategic, personal and business critical information.
  • Seek out sources, track, consolidate and analyze ad-hoc and regular business requests/ projects.
  • Help track and document the BIR CRO performance against scorecard and achievements vs. goals.
  • Act as liaison between the BIR CRO and their leadership team to ensure appropriate prioritization and timely approvals/inputs needed from the BIR CAO for smooth running of the organization. Maintain excel trackers to monitor progress on deliverables and approvals required from the BIR CRO
  • Work with the communications team to ensure all organizational communications are reviewed by the BIR CRO and share feedback with stakeholder.
  • Assist with VOE initiatives/ actions that are tagged to the BIR CRO (candid conversations, skip level meetings for example) and ensure they are included in their schedules/ travel etc.  
  • Prepare agenda, collecting materials, recording minutes, and tracking follow-ups as needed from the Senior Leadership Team meetings.
  • Co-ordinate events, off-sites, town halls – preparing in advance documentation and ensuring appropriate recording and follow-up of actions.
  • Proactively manage the BIR CRO inbox, including flagging urgent deliverables, re-directing enquiries and managing senior stakeholders. Track, consolidate and prioritize incoming requests, where necessary
  • Extensive diary management / associated logistics; Co-ordinate travel arrangements, including flights, visas, transportation, hotels; prepare, reconcile and track expense reports through the expense portal.

Knowledge/Experience:

  • 7+ years relevant experience
  • Proven track record in delivering outcomes on projects and implementing improvements
  • Highly proficient in Microsoft office- Excel and PowerPoint in particular
  • Self-motivated and detail orientated
  • Pro-active and excellent organizational skills
  • Consistently demonstrates clear and concise written and verbal communications skills
  • The candidate should show a willingness and enthusiasm for new projects, and the capacity to develop their own workstreams without prompting
  • Flexible approach to working hours 
  • Ability to handle multiple tasks simultaneously whilst remaining proactive and efficient 
  • Excellent interpersonal skills
  • Significant senior level executive admin experience in prior work experience
